Local recordings and transcription
Recordings, imported audio or video, transcripts, summaries, tags, favorites, generated tasks, and task completion state are stored in the app's local container on your device unless you choose to export, share, enable iCloud Sync, or request cloud transcription. Transcription runs locally on device when your iPhone supports TalkBrief's local transcription requirements.
Speaker identification
With Apple On-Device transcription, optional speaker identification analyzes audio locally on your device. The first time you use it, TalkBrief downloads speaker models from Hugging Face; no recording audio is uploaded for this local mode. Speaker labels are saved with the recording and sync to your private iCloud when iCloud Sync is enabled.
High-Accuracy Cloud transcription
Pro users may explicitly choose High-Accuracy Cloud transcription. TalkBrief uploads the selected recording to TalkBrief Cloud, using Cloudflare infrastructure and currently Google Cloud Speech-to-Text with temporary Google Cloud Storage, to produce a transcript, word timings, and speaker labels. Temporary audio is deleted from TalkBrief Cloud after processing or failure cleanup, and the provider-uploaded file is deleted after transcription. The normalized transcription result is deleted from TalkBrief Cloud after the app confirms download. TalkBrief keeps only minimal task, entitlement, and usage metadata needed for quota, reliability, and abuse prevention; it does not keep a permanent server-side audio archive.
Cloud AI features
Summaries, Ask, and AI translation use cloud AI only when you request those features. TalkBrief sends the relevant transcript, summary, custom template instructions, question, selected source snippets, and output language to TalkBrief’s Cloudflare service and its AI provider (currently DeepSeek for summaries and Ask) so they can generate the requested response.
Usage limits and subscriptions
TalkBrief uses Apple's in-app purchase system for subscriptions. Apple processes purchase and payment information. To unlock Pro features and enforce free monthly AI limits, TalkBrief may send an App Store transaction ID, App Store environment, and feature usage information to the TalkBrief Cloudflare service. The service stores entitlement status, cloud transcription task state, and monthly usage in D1.
iCloud Sync
If you turn on iCloud Sync, TalkBrief syncs recordings, audio files, transcripts, summaries, tags, favorites, generated tasks, and task completion state to your private iCloud using the Apple Account signed in to iCloud on this device. You can turn off iCloud Sync and delete TalkBrief cloud data from Profile. Local recordings remain on your device unless you delete them.
TalkBrief Web
TalkBrief Web authenticates with Apple CloudKit and accesses your private iCloud database to display synced recordings and documents. Audio is requested when you choose to play a recording. Downloads and copied text are handled by your browser and the destination you choose.
iCloud sharing
When you choose Share with TalkBrief User, TalkBrief creates a read-only iCloud share for the selected brief. The share can include the summary, action items, and transcript if you turn on Include transcript. Audio files are not included. Anyone with the iCloud share link may be able to accept the share and view the shared brief in TalkBrief, depending on Apple's iCloud sharing flow. You can stop sharing through the iCloud sharing controls.
Reminders and exports
When you choose Add to Reminders, TalkBrief adds selected action items to Apple Reminders with the task title, notes, owner, due date, source recording title, and a TalkBrief deep link. This uses the device Reminders permission and does not send those tasks to TalkBrief servers. File exports and iOS share sheet actions are controlled by the destination app or service you choose.
Optional integrations
Notion, Obsidian, Google Docs, Slack, Discord, and Microsoft OneNote are optional export destinations. Content is sent only when you choose to export. None requires a new TalkBrief account. Notion uses an authorized workspace connection; Obsidian uses a local app link or a Markdown file you save; Google Docs uses a device-held Google connection; Slack and Discord each use a connection to one channel you select; OneNote uses a device-held Microsoft connection.
Notion and Obsidian are available in TalkBrief 2.8.0 and later; Google Docs and Slack are available in TalkBrief 2.9.0 and later. Microsoft OneNote is included in TalkBrief 2.10.0 and later. Notion
The Notion connection uses Notion's official authorization page, where you sign in and choose the workspace and pages to share. TalkBrief will not receive your Notion password. Access will be limited by the permissions you grant, including access inherited by child pages. The integration uses read, insert, and update content permissions to support your exports; it does not request comment or personal profile permissions.
When you choose to send a brief, its title, date, duration, tags, summary, and action items pass through TalkBrief's Cloudflare service to your selected Notion page. A full transcript is included only if you turn it on; it is off by default. Audio is not included. TalkBrief processes this content for the requested export and does not store it long-term on the integration server.
The device connection credential stays in this device's iOS Keychain and is not synchronized to iCloud. The server stores encrypted Notion tokens and workspace information, a hash of the device credential, connection and export identifiers, content fingerprints, retry records, and rate-limit counters. The encrypted integration bot identifier helps distinguish exported notes from destination pages. These support authorization, opening and safely updating exports, and avoiding duplicates. There is no automatic or two-way synchronization.
TalkBrief remembers your selected destination page identifier and title as a local preference for the current connection. Changing this preference affects future exports; it does not move existing notes. From TalkBrief you can reopen Notion’s own page picker to share more pages with this connection. Doing so replaces the stored Notion token for the same workspace; a grant for a different workspace is refused and the existing connection is kept. Existing exported pages are not moved or changed. Authorization opens Notion in the system’s secure web view, which may use a Notion sign-in already present on this device; iOS asks for your consent before it does. You can also create a new destination page from TalkBrief, which is created inside the page you select and is never used to reach anything you have not shared.
Incomplete authorization expires after 10 minutes. Connections and export metadata expire after 180 days without successful authenticated use, at which point the service attempts to revoke access and clean up the records. Export updates affect only a previously verified TalkBrief-managed region; edited or unverifiable content requires your confirmation to create a separate copy.
Disconnecting in TalkBrief immediately disables the connection and removes export associations. TalkBrief attempts to revoke the Notion access token. If revocation fails, the encrypted token is retained only for cleanup retries. After successful revocation, a hashed retry record may remain for up to 24 hours before deletion. You can also remove the connection's access in Notion. If an interrupted authorization cannot be recovered, remove its access in Notion before reconnecting.
Disconnecting or revoking access does not delete exported pages. Deleting a TalkBrief recording does not automatically delete its Notion copy. Manage exported pages and their sharing permissions in Notion; their subsequent storage and use are subject to Notion's Privacy Policy.
Obsidian
Obsidian export creates a Markdown note on your device containing the recording title, date, duration, tags, summary, and action items. A transcript is included only when you enable it; this option is off by default. Audio is not included.
You may enter a vault name, which is saved as a preference on this device. For shorter notes, choosing Send to Obsidian passes the note through a local app link to the installed Obsidian app. Starting with version 2.8.0 build 166, sending a longer note places its complete text on this device's clipboard and opens Obsidian to read it automatically. This happens only when you tap Send, replaces the current clipboard content, and is marked local-only so Universal Clipboard does not synchronize it. The clipboard item expires after five minutes. iOS may request permission for Obsidian to paste.
Save Markdown file remains available and opens the system file picker so you can choose the destination. Earlier builds use file saving for longer notes. Simply opening the export screen does not copy content.
Obsidian export does not send your note content to TalkBrief's servers and does not create an Obsidian cloud connection. Opening Obsidian is a handoff; confirm the saved note in Obsidian. Exports are independent copies and do not automatically update existing notes. Obsidian Sync, iCloud Drive, or other storage providers you choose may separately sync the files under their own settings and policies. See Obsidian's Privacy Policy.
Deleting the source in TalkBrief does not delete exported notes or their synced copies. Manage or delete those files in your vault and any storage service you use.
Google Docs
Google Docs export uses Google's installed-app OAuth flow and requests only the
drive.file permission. This limits access to Google Drive files that TalkBrief
creates or that you explicitly select. TalkBrief does not receive your Google password.
OAuth access and refresh tokens are stored in this device's iOS Keychain and are not synchronized through iCloud. The selected folder identifier and name, created document identifiers, revision identifiers, and export associations are stored on this device. TalkBrief servers do not receive Google authorization tokens.
When you send, the recording title, date, duration, tags, summary, sections, key points, action items, follow-ups, and an optional transcript pass directly from your device to Google Drive and Google Docs. Transcript inclusion is off by default. Audio is not included, and TalkBrief servers do not receive the Google Docs export content.
Repeat exports update only the TalkBrief-managed portion of a document after confirming it has not been edited. If that content was changed or cannot be verified, TalkBrief offers to create a separate document so your edits are preserved. A local operation marker lets the app recover a document after an interrupted response and avoid creating duplicates.
Disconnect removes the Google credential and export associations from this device. Remove Google access also asks Google to revoke the connection. Documents already created in Google Drive remain under your control and must be managed or deleted there. Their subsequent storage and use are subject to Google's Privacy Policy.
Slack
Slack export requests only permission to post to one channel you select during Slack's authorization flow. TalkBrief does not receive your Slack password. Slack returns a channel-specific incoming webhook and a token used to revoke that connection.
TalkBrief's Cloudflare service performs the confidential OAuth exchange. It stores the encrypted authorization result for no more than 10 minutes while your device completes the connection. Recording, transcript, summary, and export content do not pass through the TalkBrief Slack integration service.
The Slack webhook and revocation token are stored in this device's iOS Keychain and are not synchronized through iCloud. When you choose Post to Slack, the title, date, duration, tags, summary, sections, key points, action items, and follow-ups pass directly from this device to the selected Slack channel. Audio and transcript are not included. Channel members may view, copy, or retain the message under the workspace's policies.
Changing the channel revokes the current connection before Slack asks you to select another one. Disconnect asks Slack to revoke the token and webhook, then removes the local credential. Existing Slack messages remain in the channel. Their subsequent storage and use are subject to Slack's Privacy Policy.
Discord
Discord export uses Discord's authorization page to create an incoming webhook for one server
channel you select. TalkBrief does not receive your Discord password and requests only the
webhook.incoming scope.
TalkBrief's Cloudflare Worker performs the confidential authorization-code exchange and holds the encrypted webhook result for no more than 10 minutes while your device claims it. Recording, transcript, summary, and export content do not pass through this Worker, and Discord OAuth access and refresh tokens are discarded after the webhook is validated.
The webhook ID and token, server ID, and channel ID are stored in this device's iOS Keychain and are not synchronized through iCloud. When you choose Post to Discord, the recording title, date, duration, tags, summary, key points, action items, and follow-ups pass directly from this device to the selected Discord channel. Audio and transcript are not included. TalkBrief disables mentions in the generated message. Channel members may view, copy, or retain the post under the server's policies.
Changing channels keeps the current connection active until the replacement is complete, then deletes the old webhook. Disconnect deletes the webhook and removes the local credential. Existing Discord messages remain in the channel. Their subsequent storage and use are subject to Discord's Privacy Policy.
Microsoft OneNote
OneNote export uses Microsoft's native authentication library and requests the delegated
Notes.Create permission and offline access. TalkBrief does not receive your Microsoft password.
Microsoft authorization tokens stay in this device's iOS Keychain and are not synchronized through iCloud.
The selected notebook and section, created page identifiers, and export associations are stored on this device. When you send, the recording title, date, duration, tags, summary, sections, key points, action items, follow-ups, and an optional transcript pass directly from this device to Microsoft Graph. Transcript inclusion is off by default. Audio is not included, and TalkBrief servers do not receive Microsoft authorization tokens or OneNote export content.
An unchanged repeat export reopens its existing page. If the content or destination changed, TalkBrief creates an updated copy instead of overwriting a page. Disconnect removes the local connection and associations; pages already created in OneNote remain under your Microsoft account's control. Their subsequent storage and use are subject to Microsoft's Privacy Statement.
Integration requests
If you submit an integration request, TalkBrief sends a random request ID, the tool you selected, optional text entered for Other, the app version, and the interface language to a TalkBrief Cloudflare Worker. The request does not include your name, email, device identifier, recording, transcript, or summary.
TalkBrief uses this anonymous information only to plan future integrations, accepts one completed request per app installation, and retains raw request records for no longer than 12 months.
Your control
You can delete recordings, transcripts, summaries, tags, and generated tasks from the app. You can also stop iCloud sharing, delete TalkBrief cloud data from your private iCloud, and choose whether to include transcripts when sharing a brief.
No sale of personal data
TalkBrief does not sell your recordings, transcripts, summaries, or Ask conversations. We use submitted content only to provide the feature you requested and to protect service reliability.
